About this Notice

The Hodler's Vault (THV) collects, uses, discloses and protects personal data as necessary to operate its Website, customer accounts, purchasing services, fulfillment processes and related business activities.

This Notice applies to personal data processed through THV's Website and directly related communications and transactions.

Our practices are intended to comply with applicable Singapore personal data protection requirements.

Information We Collect

Depending on the services used, THV may process:

Account information, including Google-provided identity, email address, display name, profile image and account authentication details.

THV account information, including internal User ID, THVID, account status, customer level, permissions and applicable customer-account relationships.

Contact and fulfillment information, including telephone number, recipient name, delivery address, pickup or delivery preferences and details needed to arrange fulfillment.

Transaction information, including selected products, quantities, prices, Order identifiers, payment references, claimed payment status, payment verification, cancellation records, fulfillment history and applicable refunds or adjustments.

Communications and support information provided when contacting THV, including messages relevant to Orders, sourcing, customer service or disputes.

Technical and security information needed to operate the service, such as session records, security logs, request information and relevant audit events.

The Website does not require customers to provide online banking passwords, payment PINs or similar sensitive banking credentials.

How We Use Personal Data

THV uses relevant personal data to:

Create and authenticate accounts, verify account eligibility and maintain customer profiles.

Process product selections, reservations, Orders, payments, refunds, collections and deliveries.

Contact customers about Order status, fulfillment arrangements, payment issues, account support and other necessary transactional matters.

Maintain customer classifications and authorised links to the Accounting App where applicable.

Protect the Website, investigate suspected fraud or misuse, maintain audit records and resolve operational disputes.

Maintain financial and business records, comply with applicable legal obligations and improve service reliability.

Analyse Website performance and product interest using information that is limited to what is reasonably necessary for those purposes.

Personal data collected for an Order is not automatically treated as consent to unrelated promotional marketing.

Service Providers and Necessary Disclosures

THV may disclose relevant personal data to service providers where reasonably necessary to deliver its services.

These may include:

Google, for supported authentication.

Supabase, for authentication, data storage and related backend services.

Vercel, for Website hosting and delivery.

Payment-related institutions and providers involved in verifying or processing transactions.

Delivery providers or couriers, where delivery is selected or arranged.

Telegram, WhatsApp and other communication providers where customers choose to use those channels.

Approved analytics, security or technical service providers where configured.

Only information relevant to the necessary service should be shared.

Independent providers may also process information under their own applicable privacy terms when customers use those services.

THV may disclose information where required or authorised by law, or as reasonably necessary to protect legal rights and investigate misuse.

Overseas Processing

Some service providers or their infrastructure may operate outside Singapore.

Where personal data is transferred overseas, THV will take steps appropriate under applicable Singapore data protection law to ensure the required standard of protection.

Cookies, Sessions and Analytics

Essential session and authentication mechanisms are used to maintain signed-in accounts, protect access and support the Website's functionality.

Where configured, limited analytics may help THV understand Website usage, product interest, technical performance and user experience.

Analytics should not unnecessarily expose private customer account information, payment references or sensitive Order records.

We may update the available analytics or cookie controls as the Website develops, with appropriate notices where required.

Marketing Communications

Order confirmations, payment updates, pickup arrangements, account security notices and other necessary service communications are distinct from promotional marketing.

THV will not treat account creation or an ordinary purchase as automatic permission to send unrelated marketing messages.

Where optional marketing communications are introduced, the appropriate consent or other lawful basis will be handled separately, with available withdrawal or unsubscribe arrangements as applicable.

Retention and Protection

THV keeps personal data for as long as reasonably necessary for the purposes for which it was collected, or for applicable business and legal requirements.

Some Order, payment, financial, security and dispute records may need to be retained after fulfillment or account closure.

Where continued retention is no longer necessary, information will be securely deleted or anonymised as appropriate.

THV uses access restrictions, authentication controls and other reasonable security measures to protect the personal data it holds.

No online system can guarantee absolute security.

Customer Rights and Requests

Customers may contact THV to request access to or correction of their personal data, ask about the processing of their information or raise a privacy concern.

Where personal data processing relies on consent, customers may withdraw consent with reasonable notice, subject to applicable law and necessary business or legal processing.

Withdrawal or account closure may affect the ability to provide certain services. Necessary records may still be retained where legally or operationally justified.

THV may request reasonable identity verification before processing certain requests.

Young Users

THV accounts are not intended for independent registration by children below 13.

Younger users should not independently submit personal data or make purchases through the Website.

Users under 18 should involve a parent or guardian where required.

Updates to This Notice

THV may update this Notice as its products, services, technology and legal obligations evolve.

Material changes will be reflected through updated document versions and appropriate notifications or account-review procedures.

Earlier document versions and relevant acceptance records may be retained where necessary.
